Tally to Odoo Migration: A Practical Checklist

Step-by-step checklist for moving from Tally to Odoo ERP: what to migrate, how to clean data, when to switch over and the mistakes that delay go-live.

Tally is excellent accounting software, and for many Indian businesses it is where the journey starts. But as a company adds warehouses, salespeople, production or a second entity, accounting alone stops being enough. Sales, stock, purchase and production end up in spreadsheets, and the books are always catching up. That is usually when owners start looking at Odoo.

Moving from Tally to Odoo is not just a data export. It is a chance to clean up years of masters and to set up processes properly. This checklist is based on how we run Tally to Odoo migrations for our clients.

1. Decide what Odoo will do on day one

Before touching data, agree the scope of the first phase. Most companies start with Sales, Purchase, Inventory and Accounting, then add Manufacturing, CRM or HR later. A smaller first phase goes live faster and builds confidence.

  • List the processes that must work on go-live day (billing, purchase, stock transfers, payments).
  • List the reports management needs every week.
  • Note anything that can wait for phase two.

2. Pick your cut-over date

The cleanest switch is at the start of a financial period, ideally the start of a month or quarter. Closing books in Tally on a known date gives you clear opening balances for Odoo and a simple audit trail.

3. Clean your masters before you migrate them

Years of Tally use usually leave duplicate ledgers, inactive parties and inconsistent item names. Migrating them as they are moves the mess into a new system. Clean them first.

  • Customers and vendors: merge duplicates, add GSTIN, state, contact person, email and payment terms.
  • Products: standardise names, units of measure, HSN codes and GST rates. Decide which items need lot or serial tracking.
  • Chart of accounts: map Tally ledgers to Odoo accounts rather than copying every ledger as an account.
  • Remove parties and items that have had no transactions for a long time.

4. Decide how much history to bring

Most businesses do not need every past voucher in Odoo. A common, practical approach is to migrate opening balances plus open items: unpaid customer invoices, unpaid vendor bills and current stock. Keep Tally available in read-only mode for historical reference and audits.

5. Migrate opening balances and open items

  1. 1Trial balance as on the cut-over date, mapped to Odoo accounts.
  2. 2Open customer invoices and vendor bills, so ageing and follow-ups continue without a gap.
  3. 3Opening stock by warehouse, with quantities and values (and lots or expiry dates where tracked).
  4. 4Bank balances, so reconciliation in Odoo starts clean.

6. Reconcile before you go live

Run the migration in a test database first. Your accountant should check that the trial balance, receivables, payables and stock value in Odoo match Tally on the cut-over date. Fix differences in the migration files, not by manual adjustments in Odoo.

7. Set up GST correctly

Odoo's Indian localisation supports GST taxes, HSN codes and GST reports, and e-invoicing and e-way bill integration are available. Configure tax mappings for intra-state and inter-state supply, and test a few real invoices end to end before go-live.

8. Train users on their real work

People who have used Tally for years need to see their own daily tasks in Odoo, not a generic demo. Role-based sessions for billing, stores, purchase and accounts make adoption far smoother.

Common mistakes to avoid

  • Switching mid-period, which makes opening balances hard to verify.
  • Copying every Tally ledger as a separate Odoo account.
  • Skipping the test migration and reconciling only after go-live.
  • Training only the accounts team while sales and stores keep using spreadsheets.
