Spreadsheets work for stock until the business has more items, more locations and more people touching them than one file can keep up with. Then every answer to "how much do we have, and where?" needs a phone call.

The situation: a large inventory across several warehouses

One of our clients, a marine business in Bhavnagar, Gujarat, holds a very large inventory spread across multiple warehouses. Stock was managed in Excel, so there was no reliable, current view of what was in each warehouse.

What we delivered

  • A multi-warehouse Odoo Inventory setup.
  • The Excel sheets replaced by one live system.
  • Real-time stock visibility across every warehouse.

Why Excel breaks down with several warehouses

  • Each warehouse keeps its own file, so totals are always out of date.
  • Transfers are recorded twice, once at each end, and often only once.
  • Nobody can see stock that is reserved for an order but not yet dispatched.
  • There is no history of who changed a number and why.

How multi-warehouse inventory works in Odoo

Odoo treats every warehouse, and every location inside it such as racks, bins or a quarantine area, as part of one inventory. Receipts, internal transfers and deliveries move stock between locations, and every movement is recorded with the date, the document and the user.

  • Stock on hand by product, warehouse and location, at any moment.
  • Transfers between warehouses that update both sides.
  • Reordering rules per warehouse, so purchase suggestions follow real consumption.
  • Lot and serial numbers where traceability matters.
  • Barcode scanning for receiving, picking and stock counts.
  • Stock valuation linked to accounting.

Setting it up: a practical sequence

  1. 1Map the real warehouses and the locations inside them before configuring anything.
  2. 2Clean the product master: one name, one unit of measure and one code per item.
  3. 3Decide which products need lot or serial tracking.
  4. 4Count stock once, per location, and load it as the opening balance.
  5. 5Start with receipts, transfers and deliveries; add reordering rules and barcode once people are comfortable.
  6. 6Retire the spreadsheets on a fixed date so there is only one version of the truth.
